Setting up your club, step by step

  1. Create your club

Start by setting up your club profile. Give it a name, upload your badge, choose your kit colours, and fill in your contact details. This takes around five minutes.

    • Club name, location, and contact email
    • Club badge / logo upload
    • Primary and secondary kit colours
    • Your role as Club Owner is set automatically

First impression: A complete club profile with badge and colours makes everything look professional for coaches, parents, and players.

  2. Choose your plan

Select the subscription plan that fits your club. You can start free and upgrade as you grow.

    • Free tier for small clubs getting started
    • Paid plans unlock more teams, players, and features
    • Upgrade or downgrade any time
    • No long-term contracts

No pressure: Your data is always yours — you can export it at any time regardless of your plan.

  3. Set up your teams

Create a team for each age group or squad you run. Each team has its own players, coaches, season, and match history.

    • Give each team a name and age group
    • Assign a kit and formation default
    • Create as many teams as your plan allows
    • Teams are completely independent of each other

Smart tip: Set a default lineup formation per team — coaches can clone it as a starting point for every match.

  4. Invite coaches and admins

Send invitation emails directly from FootyLineup so coaches can access their teams and admins can help manage the club.

    • Coaches only see teams they are assigned to
    • Admins can manage the whole club
    • Invitations arrive via email with a secure link
    • Roles can be changed or revoked at any time

Role control: You keep full control as Club Owner. Other roles have clearly limited permissions.

  5. Add players to teams

Build your player registry. Add players manually or let coaches add them through their team dashboard.

    • Player name, date of birth, position, and contact details
    • Profile photo and kit number
    • Assign players to one or more teams
    • Invite guardian/parent accounts for each player

Guardian link: Linking a guardian to a player lets the parent mark availability and receive club communications directly.

  6. Set up fees and payments

Connect your Stripe account and start collecting club subs, match fees, or kit payments online.

    • Connect your existing Stripe account or create a free one
    • Create payment products (subs, fees, kit)
    • Issue payment requests to individual players or whole teams
    • Track who has paid and who hasn't in real time

No cash needed: Parents pay online, receive instant confirmation, and you have a complete digital ledger — no more chasing at the sideline.

  7. Monitor your club from the dashboard

Your Club Owner dashboard gives you a bird's-eye view of everything happening across your teams.

    • Player registration and team totals
    • Payment collection rates and outstanding amounts
    • Upcoming matches across all teams
    • Recent activity and admin notifications

Always informed: You don't need to be involved in day-to-day team management — the dashboard tells you what matters at a glance.

Common questions

How many teams can I create?
The number of teams depends on your subscription plan. Free plans include one team; paid plans unlock additional teams. You can view current limits on the Subscription page within your club.
How do online payments work?
FootyLineup uses Stripe to process payments. You connect your own Stripe account (free to set up) and funds go directly to it. FootyLineup does not hold club funds.
Can I have multiple Club Owners?
Yes. You can invite other users as Club Admins who have the same management access as an owner, or grant owner-level roles depending on your plan.
What happens to my data if I cancel?
Your data remains accessible for a grace period after cancellation. You can export player records, match history, and payment ledgers before the account closes.
Can coaches see other teams' players?
No. Coaches are scoped to the teams they're assigned to. They cannot see players, matches, or data from other teams in your club.
Is there a limit on the number of players?
Player limits vary by plan. Check your Subscription page for the current limits. If you need more, upgrading is instant and takes effect immediately.
